WCAC Complaints and Concerns Policy
The WCAC Committee encourages all members to communicate to them any concerns they might have about WCAC activities, the conduct of members, or any other matter that we should address.
SAFETY
Safety concerns must be raised immediately with the person-in-charge of an activity so that the issue can be addressed before any harm results.
INAPPROPRIATE BEHAVIOUR OR CONDUCT
WCAC activities involve members of all ages. Members must be respectful of others and mindful that children are often present.
Any concerns involving inappropriate behaviour or conduct need to be brought to the attention of the WCAC Committee so that the issue can be addressed.
We recognise that some matters are difficult to report and that sometimes anonymity may be desired. If this is the case, our Administrator can receive such reports to pass the issue on to the Committee whilst maintaining confidentiality.
When there is sufficient information about an issue of high importance, the Committee can appoint a team to discuss the issue with the subject of the report, hear their defence, and if needed, the Committee may decide to expel that member from the Club.
SUGGESTIONS
We welcome any suggestions from members that might improve the functioning of WCAC activities or general operations.
HOW TO COMMUNICATE WITH US
Any communication can be emailed to the WCAC Administrator, admin@westcoastalpineclub.org.nz.
Anonymous complaints can be submitted by Google Form: https://tinyurl.com/WCACconcern
Suggestions and non-urgent reports can also be dropped in the SUGGESTION BOX at the Climbing Wall on Tuesday evenings or mailed to WCAC Administrator, PO Box 136 GREYMOUTH 7840.
FOLLOW-UP
Administrator will inform the committee of complaint by email as soon as received (email or Google form). Committee will proceed as appropriate to the complaint.
The suggestion box will be checked weekly by a committee member and the full committee will be informed and proceed as appropriate to the complaint.
